When it comes to Microsoft 365, the question I get asked the most is: “Where do I start?” And honestly, it’s a great question. Microsoft 365 is a vast ecosystem of apps and tools, and jumping in can feel overwhelming—like being handed a set of keys to a mansion with no map to find your way around.
But the answer to that question is simpler than you might think: Start with SharePoint.
Why SharePoint Is the Heart of Microsoft 365
SharePoint isn’t just another app; it’s the center of the Microsoft 365 ecosystem. And don't just take my word for it - those are the words of Microsoft CEO Satya Nadella. Think of SharePoint as the foundation of your custom-built case management system.
Here’s why SharePoint is where you should start:

Everything revolves around it: Many apps in Microsoft 365, like Teams and OneDrive, rely on SharePoint. When you create a Team in Microsoft Teams, a SharePoint site is automatically created in the background. That’s because you can’t have Teams without SharePoint—but you can have SharePoint without Teams.
Document Management: SharePoint houses your document library, which is powered by OneDrive. Think of it as a “shared” drive for your team, while your personal OneDrive is just for you.
But What About Teams?
Many people start their Microsoft 365 journey with Teams, only to discover the surprising connection between Teams and SharePoint. For example:
When you create a new channel under a single Team, you’re also creating folders in the SharePoint document library associated with that Team.
Those folders live in SharePoint and are accessible via OneDrive, which means your document organization is directly tied to how you structure your Teams and channels.
Starting with SharePoint helps you understand this connection from the beginning, saving you time and frustration down the road.
Mapping Out Your Microsoft 365 Case Management System
If you’re transitioning from a box solution like TimeMatters, Clio, or FileVine into Microsoft 365, here’s my best advice:

Make a List: Start by listing the features and functions you currently rely on in your box solution. I've provided an example to get you started.
Explore Alternatives: Identify which Microsoft 365 apps can replace those features. For example:
Document Management: Handled by SharePoint and OneDrive.
Task Management: Use Planner, To Do, and even Lists.
Client Intake: Microsoft Forms is your friend.
Start with SharePoint: Build your foundation here. Organize your document library, establish permissions, and create a structure that reflects your practice’s needs.
Pro Tips for Easing the Transition
Change can be intimidating, but it doesn’t have to be overwhelming. Here’s how to make the switch smoother:
Baby Steps: You don’t have to migrate everything at once. Start with new matters going forward. Over time, all your matters will be in Microsoft 365, and you’ll have eased the learning curve for yourself and your team.
Keep It Simple: Focus on your foundational needs first. Once you’ve replaced the essentials, you can start exploring advanced features and automations.
Ask for Help: This is where I come in. From one legal professional to another, I speak your language. I’ve been where you are, and I’m here to guide you.
Transitioning to Microsoft 365 doesn’t mean throwing out everything you know. It’s about taking what works, enhancing it, and leaving the inefficiencies behind. Your new case management system will be custom-designed and built by you—with a little help from SharePoint.
Remember: You don’t need to reinvent the wheel. You just need to innovate it. And with Microsoft 365, you have all the tools you need to create a system that works for you.
